Microsoft Search: The glue that binds 365

M-19-21 in a nutshell: manage your permanent records electronically by 2019; create, manage, and maintain permanent federal records and related metadata by 2022; shut down your records storage facilities by 2022; maintain a program that complies with the Federal Records Act.

But, in Microsoft 365, what IS a record? And where do I store them? How do I categorize them? Can I move them to another system? Do I still need my legacy records database? Can I export my records to NARA?

During this session we'll review the latest guidance from NARA and discuss these important topics for modernizing your paper records processes using office 365 to support full information lifecycle management:

Electronic Records and Me: Meeting M-19-21 in M365

Search in Microsoft 365 is currently limited to content that is stored natively in its tools, how can you add in your own business content to the search index? 

In this discussion we will discuss the options for getting your content into the search system in Microsoft 365. We will cover hybrid scenarios and how to best leverage them in addition to some other strategies that will help get your content ready for Microsoft Search.

Searching non-Microsoft 365 content in Microsoft 365

Creating a scheduled, automated process that will poll network drives and upload images with metadata to SharePoint online:
- Power Automate polls the Azure drive on scheduled intervals
- When detected, images are moved to the assigned SharePoint library
- The CSV is parsed and metadata is loaded to the related library and columns
- The completed documents and metadata are moved to an Archive location to keep the source directory clean

Other Off the Shelf tools were considered but Power Automate offered the most flexibility for future development while utilizing an existing M365 subscription.
